Air con work is two businesses in one. Summer is back-to-back split and ducted installs, then the phone runs hot with breakdowns the moment the mercury hits 40. Winter it flips to reverse-cycle no-heat calls and the servicing that keeps units off the scrap heap. ServicePilot runs both: quote a supply-and-install with the model numbers and kW load spelled out, then set up service agreements that book the next filter clean and coil check on their own.

Quote installs that hold up
Nail the sizing, condenser location and running costs in the quote so there are no surprises when you cut the wall in and run the pipe.
Never miss a service
Maintenance agreements auto-book the next filter clean, coil wash and gas check, so bodgy old units keep earning you money instead of dying quietly.
Get paid before you leave
Tap the card on the breakdown call and take payment on the spot. GST invoice done, Xero reconciled, no chasing a $180 diagnostic.
Everything a HVAC business needs
Install quotes in minutes
Build a supply-and-install quote off your price list: the head unit and condenser, brackets, pipe, drain, electrical and the day rate. Sent by SMS, e-signed on the spot.
Scheduling & dispatch
Keep the two-man install crew and the service tech on separate runs. Drag breakdown callouts into gaps and sort the day so nobody drives across town twice.
Invoicing & payments
Progress claim the deposit before you order the units, invoice the balance on commissioning. GST sorted, card payments via Stripe straight to your bank, and Xero synced.
SMS reminders & ETAs
Text the customer the day before a service visit and an "on my way" so someone is home to let you at the indoor unit. Fewer wasted trips to a locked-up house.
Automated reviews
Ask for a Google review the moment a job’s done - grow your reputation on autopilot.
Client portal
Strata managers and facility clients log in to see every unit's service history, sign off quotes and lodge the next breakdown without a phone call.
Built for the jobs you do
Start from a ready-made air con price list. Head units by kW, condensers, copper pipe runs, insulation, brackets, condensate pump, drain, isolators and the day rate all pre-loaded, so you're quoting on day one.
Air Conditioning & HVAC - questions
Can I run service agreements?+
Yes. Set a plan quarterly, six-monthly or annual and ServicePilot books the next coil clean and filter service on its own, then texts the customer a reminder before each visit. Handy for strata blocks and offices where nobody remembers the unit until it stops.
Does it work for a bigger team?+
Yes. Run your install crew and service techs off one calendar, assign callouts, optimise the runs and manage the lot with per-seat pricing as you take on more air con work.
A practical HVAC quote structure
Spell out the unit and its kW rating, the pipe run length, the condenser location, electrical and the running-cost estimate in one quote. The exclusions are what save you: extra copper past three metres, tiling made good, switchboard upgrades, crane hire for a rooftop condenser. Get them in writing before you order the gear.
For installations
Model number, indoor and outdoor positions, pipe and drain route, electrical scope and access. Note who supplies the isolator and whether the wall is brick or plasterboard, so the crew turns up with the right gear.
For maintenance
Keep the service scope, gas type, last coil clean and next visit against each unit. When a compressor finally packs it in you have the full history, not a guess from a faded sticker on the outdoor unit.
