ServicePilot uses information you enter to run your account and, when you choose to use AI quoting, to prepare a draft for your review.

This page is a plain-English overview. The Privacy Policy remains the governing document. If you need a current provider or processing-location list for procurement, contact us before signing up.

Information used to run your account

ServicePilot stores the business, customer, job, quote, invoice and team information needed to provide the features you choose. That can include contact details, job notes, attachments, your catalogue, rates, invoice details and account configuration.

What happens when you ask AI to draft a quote

An AI quote request uses the details you provide about the job. To make a useful draft, ServicePilot may include relevant catalogue items and rates from your own account, plus attached job images when you choose to include them. The result is returned to your account as a draft quote.

You remain responsible for the final quote. ServicePilot does not automatically send an AI draft. Review and edit the scope, quantities, descriptions and prices before you decide to send it to a customer.

Connected services

Some optional features require a connection to another provider, such as Xero for accounting, Stripe for payments, Google Maps for route information or an AI provider for a requested draft. Those providers process the information needed for the connected feature under their own terms and privacy practices.

How to limit what is included

Security and questions

ServicePilot uses standard security controls to protect account access and information in transit. Security practices and service providers can evolve, so please contact us if your business has specific contractual, data-residency or security requirements.
