Getting started

What is ServicePilot?+

ServicePilot is job management software for Australian trade and field-service businesses. It runs your whole workflow — quotes, scheduling, jobs, invoicing, card payments, SMS and reviews — in one place instead of five different apps and a notebook.

Who is it for?+

Any trade or field-service business: plumbers, electricians, cleaners, HVAC, landscapers, pest control, handymen, tilers, painters and more — from sole traders to teams with multiple techs.

Do I need to install anything?+

No. ServicePilot runs in any web browser for the office, with native iOS and Android apps for the field. Nothing to install to get started — just sign up.

How long does it take to set up?+

Minutes. Add your business details, load a ready-made price list for your trade, and you can send your first quote the same day. Importing existing customers is a quick CSV upload.

Is there a free trial?+

Yes — 14 days free, no card required. You get full access so you can run real jobs before deciding.

Pricing & billing

How much does it cost?+

ServicePilot is priced per user (per seat). You can pay monthly or annually — annual saves you roughly two months. Prices are in AUD and include GST. See the app for current pricing.

Can I pay yearly?+

Yes. Annual billing is discounted versus monthly (about two months free), billed once a year.

Can I cancel anytime?+

Yes. There are no lock-in contracts on monthly plans — cancel whenever you like and you keep access until the end of the period.

How do I pay for my subscription?+

By card through Stripe, or by direct bank deposit if you'd prefer — your account manager can set that up.

Do you add GST?+

Prices are shown including GST, and your ABN and GST are handled automatically on the quotes and invoices you send your customers.

Getting paid

How do my customers pay their invoices?+

Connect Stripe and your customers can pay their invoice online by card from a secure link — no terminal or hardware needed. The money settles directly into your own bank account.

Do I need an EFTPOS terminal?+

No. Payments are online card payments via a link you send. If you also want to tap cards on-site, that can be added later, but it isn't required.

Where does the money go?+

Straight to your own Stripe balance and then your bank account. ServicePilot never holds your money.

What are the payment fees?+

Standard Stripe card fees apply (around 1.7% + 30c for Australian cards). ServicePilot doesn't take a cut of your customer payments.

SMS

Does ServicePilot send SMS?+

Yes — automatic day-before reminders, “on my way” ETA texts, and review requests by SMS. Reminders cut no-shows dramatically.

How much does SMS cost?+

Every account gets a free monthly SMS allowance. Beyond that you buy prepaid credit packs — sending simply stops if you run out, so there are never surprise bills.

Can customers reply to texts?+

With an alphanumeric sender your texts are one-way (great for reminders). If you want two-way replies, a dedicated number can be set up.

Integrations

Does it work with Xero?+

Yes. Connect your own Xero account and push invoices and payments straight through. QuickBooks Online and Reckon One are on the way.

What about Stripe and Google Maps?+

Stripe powers online card payments (to your own account) and Google Maps powers route optimisation for your day's jobs.

Can I sync my accounting automatically?+

Invoices and payments push to Xero on demand, keeping your books up to date without double entry.

Features

Can customers accept quotes online?+

Yes. Quotes are sent as a branded link; customers view, accept and e-sign online, and you're notified instantly.

Does it handle recurring or maintenance work?+

Yes — set up maintenance plans (weekly to yearly) and the jobs are created automatically ahead of each visit. Ideal for pest, pool, cleaning and HVAC servicing.

Can I ask customers for Google reviews?+

Yes — after a job is completed, ServicePilot automatically asks the customer for a review by SMS and/or email, straight to your Google review link.

Is there a customer portal?+

Yes. Your customers get a passwordless login to view their quotes, jobs and invoices, pay online, message you and request new work.

Can I attach photos to jobs?+

Yes — attach photos, documents and notes to any job, and customers can see their history in the portal.

Team & mobile

Can I add my team?+

Yes. Invite teammates by email — they set their own password and join your business. You're billed per active user, with roles for admins and technicians.

Is there a mobile app?+

ServicePilot runs in any browser, and native iOS and Android apps are available for the field so your team has everything in their pocket.

Data & security

Where is my data stored?+

On secure infrastructure with encryption in transit and regular backups. Your business data is isolated to your account.

Do I own my data?+

Yes — your customers, jobs, quotes and invoices are yours. You can export them, and we handle your information in line with the Australian Privacy Principles.
