How to quote a plumbing job in Australia

A clear plumbing quote makes the scope easier to approve and the completed job easier to invoice. Here is a repeatable structure for call-outs, repairs and planned work.

Quick checklist: customer and site details, call-out or inspection fee, labour, parts, access assumptions, exclusions, GST, quote validity and approval method.

1. Record the problem and the site

Start with the address, contact, the reported issue and what you could inspect. Note access, isolation requirements, parking, height or any other condition that could affect labour or materials.

2. Separate the work into useful line items

Itemised lines help the customer understand what they are approving and make variations easier to discuss.

3. State what is included and excluded

Say whether making good, painting, excavation, after-hours work or hidden damage is included. If the final repair depends on what you find, explain the approval step before extra work begins.

4. Add GST and a clear acceptance path

Show the subtotal, GST and total. Include how long the quote is valid, when payment is due and how the customer can accept it. Keep the accepted scope attached to the job record.

5. Turn the accepted quote into the job

Once approved, the same scope should be available to the person scheduling and completing the work. Attach photos, notes and certificates to the record, then create the invoice from the completed job.

Use a rate card so the first draft is consistent

Store common call-outs, labour rates, fittings and installation items in one catalogue. ServicePilot can use those items to prepare an AI-assisted draft from an enquiry or job description. You review every line before it is sent.

Build clearer plumbing quotes from your own rates.
